Artist dossier: what it contains, with the example of a Brazilian painting studio

An artist dossier is the file that puts an artist's work in order for someone who has to decide: usually a statement, a biography, a CV and a documented set of images. The term is not standardised. At Perfeito Studio, the dossier that accompanies each acquisition holds the artist's biography, the series context and the work's technical record.

What "artist dossier" means in practice

Celestial Plan (2025) is a black canvas with fine concentric textures built in texture paste and scattered fragments of imitation gold leaf (metallic leaf) that read as constellations. Each of those details is the kind of fact a dossier records in a fixed order, so that someone who has not seen the work can still describe it correctly.

No single institution defines the word. In France a dossier is also an application file: a 2019 call for artist residencies in agricultural high schools, published on the Ministry of Culture's website in the Centre-Val de Loire regional (DRAC) section, asked for a motivation letter, a CV and a detailed visual dossier of the artist's career, as a bound paper file with a digital file for photo and video work. Artist-support organisations writing in English describe the same materials as separate pieces. Artsource, an Australian visual-artists' organisation, treats the CV, the artist statement, the biography and the images as distinct items: the statement describes practice, interests and material expertise, the biography is a snapshot of the CV, and images should be recent and of high quality. AGI Fine Art, an artist agency in New York, adds that each portfolio image should carry title, medium, size and year, and that a separate image list and price sheet helps in gallery submissions when works are for sale.

The components, and the question each one answers

Read side by side, the sources describe the same parts, apart from the technical record, which is the studio's own term for the identification data of one object. What differs is which question each part answers, and what a reader can verify.

ComponentThe question it answersWhat a reader can check
Artist statementWhat is made, with what, and whyWhether the text matches the works shown
BiographyWho the artist is, in a paragraph or twoTraining, place, practice
CVWhat has already happened, as a dated listShows, awards, residencies, publications and collections, each traceable to a source
Images and image listWhat the work looks like, with its basic dataTitle, medium, size and year against each image
Technical recordWhat exactly this object isMaterials, dimensions, identifier, signature
Cover letterWhy this artist is writing to this recipientWhether it is tailored to the call

The CV is the only component that lists events outside the studio, so an emerging artist's dossier is read mostly through the others: how clearly the work is described, whether the data agree from one work to the next, and how well each object is documented. A reading guide from the buyer's side is in how to read an emerging artist's CV, bio and statement.

What Perfeito Studio's dossier contains

Alyne Perfeito is a Brazilian visual artist and trained architect, based in Brasília. Her current body of work, painted between 2025 and 2026, is organised in six concurrent series: Heart of Chaos, Matter & Silence, Luminous Rebirth, Black & Gold, Terra & Ether and Water & Bloom. The studio states that an artist dossier accompanies every acquisition and holds three things: the artist's biography, the context of the series, and the technical record of the work. This is the studio's first documented body of work, so the dossier documents the work and how it is made, not a show history.

The technical record uses the same fields for every painting. Three examples, with the medium copied as written:

Each painting is unique, signed, catalogued under an internal Archive ID and photographed in detail before it leaves the studio. The signed Certificate of Authenticity carries the full technical record and the Archive ID, and a QR code that links to the work's official page, which makes provenance verifiable at any time. The full list of what comes with a painting is in what comes with a Perfeito Studio painting, and the artist is introduced on the About page.

Who receives which document

The site describes three routes. A buyer receives the artist dossier together with the painting. An architect or interior designer can receive a per-project dossier and technical documentation prepared for client presentations and project archives, as stated on the For Architects page. A curator or gallery can ask for the technical record and high-resolution images of any work, which the For Galleries page says are sent on request. The site does not describe a ready-made dossier for gallery submissions, so what is available for a given purpose is a question for the studio, and any other arrangement is discussed with it directly.

For whoever acquires the work

What arrives with a painting is a fixed package: the original and unique painting, the signed Certificate of Authenticity, a fiscal invoice or official receipt, an Artwork Acquisition Agreement covering transfer of ownership, copyright and image use, the artist dossier, conservation and care guidance, and professional packaging. The Archive ID is the thread: the certificate carries it, and it is the identifier to quote whenever the work is described.

On scale, Celestial Plan is 50 x 70 cm (19.7 x 27.6 in) and Vegetal Dawn is 80 x 120 cm (31.5 x 47.2 in); in the visualisation above, Celestial Plan hangs over a low bench on a white wall, which gives a sense of proportion only. Shipping is quoted per destination and paid by the buyer, within Brazil and abroad, with transit insurance available; see the shipping page.

From the studio

A note from the studio

Alyne Perfeito's records are organised around the work: for each painting the studio holds the series, year, medium, dimensions, Archive ID, a signed certificate with a QR code, and detail photographs. In Celestial Plan that means the relief of the texture paste and the position of the leaf fragments are photographed up close, and they are hard to judge from a full-view image, as the detail photograph above shows. A gallery reading the dossier is reading the work, in the order in which the studio documents it.

Frequently asked

What is an artist dossier?

A file that puts an artist's work in order for a reader who has to decide, such as a curator, a gallery or a residency jury. Its contents vary by recipient. The usual parts are a statement, a biography, a CV, a set of images with title, medium, size and year, and sometimes a cover letter. In France the word also names an application file, as in a 2019 artist-residency call published on the Ministry of Culture's website.

How is a dossier different from a portfolio or a CV?

A portfolio is the images and their data. A CV is the dated list of shows, awards, residencies, publications and collections. A dossier gathers these with the statement and the biography into one file for a specific reader. At Perfeito Studio the dossier that goes with an acquisition holds the artist's biography, the series context and the work's technical record.

What should a gallery expect to find in an emerging artist's dossier?

A statement that matches the work, a short biography, images with title, medium, size and year, and a CV that may be brief. When the CV is short, the documentation carries more weight: consistent data, clear descriptions, a unique identifier and detail photographs. Perfeito Studio's work is its first documented body, painted in 2025 and 2026, and each painting has an Archive ID and a technical record.

Does a buyer receive a dossier with the work?

Yes. Perfeito Studio states that every acquisition includes an artist dossier with the artist's biography, the series context and the technical record, alongside the signed Certificate of Authenticity, a fiscal invoice or receipt, an Artwork Acquisition Agreement, conservation guidance and professional packaging.

How do you request a dossier from Perfeito Studio?

The site says the dossier accompanies each acquisition, that architects can receive a per-project dossier, and that curators and galleries can request high-resolution images and the technical record of any work. Write to the studio on WhatsApp or at contato@perfeitostudio.com, say what the file is for, and ask what is available for that purpose.

Ask what is available for your purpose

Tell the studio what the file is for: a show, a project or an acquisition. The technical record and high-resolution images of any work are sent on request.
